Job Description
Heritage Watch Association is looking for a team-player, very focused admin-assistant and volunteer coordinator to manage our volunteer program. This position assumes that the candidate has experience in administrative and clerical tasks, providing support to directors, coordinators, consultants, staff and volunteers. The administrative assistant will manage Heritage Watch Association general administrative activities. In addition, the right candidate will be responsible for recruiting and training new volunteers, keeping a record of our volunteer mailing list, information and skills, matching volunteers’ skills to appropriate opportunities as well as keeping the list current at all times. Furthermore, the coordinator will be an efficient liaison between the volunteers, HW and in particular while interfacing with the general public.
A successful Administration Assistant and Volunteer Coordinator should be meticulous about keeping records and passionate about volunteer work. S/he should uphold the values of our organization while ensuring the comfort of our volunteers in their positions.

Volunteer Coordinator Responsibilities:
- Recruiting, training, and supervising new volunteers.
- Collecting volunteer information, availability, and skills, and maintaining an up-to-date database.
- Using marketing tools such as outreach programs, e-mails, and volunteer databases.
- Keeping new and existing volunteers informed about the organization and volunteer opportunities.
- Matching volunteers to opportunities that suit their skill sets, and ensuring they understand their responsibilities and receive the proper training.
- Organizing training and leading on-the-job training.
- Keeping schedules and records of volunteers' work.
- Preparing codes of conduct and operating procedures to uphold the organization's values.
- Ensuring the organization's purpose is conveyed to the public.
Volunteer Coordinator Requirements:
- An Associate's Degree in Business Management, Human Resources, or a related field.
- Experience in volunteering and recruitment.
- Working knowledge of databases.
- Excellent communication and interpersonal skills.
- Excellent organization and team-building skills.
Administrative Assistant Responsibilities
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile petty cash
- Provide general support to visitors
- Act as the point of contact for internal and external clients
Requirements
- Proven experience as an Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like computers and printers/scanners
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Good written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Bachelor’s degree Secretary will be a plus
